Finance Officers Report
Income was in excess of £125,000.00 for the year rising by 4.0% from the previous year and 21% above budget. We are please to report full tenancy when the year finished.
Repairs, maintenance and freehold improvements were once again substantial this year. We were, once again, in a position to spend in excess of £25,000.00, which included refurbishments within Rooms 4, 17, 18, 23, 26, 28 and the Amberley room as well as new boilers, the Clinical room project and the Data Network.
A small deficit (5.8% of turnover) was the final result.
Staffing levels have remained at an appropriate efficient level. Having our own cleaning staff continues to have a beneficial effect.
Liquidity has been healthy this year and remains strong with the ‘net current assets’ at a level of in excess of £54k at the year end.
The Organisation’s reserves policy is in place and is constantly reviewed.

Annual report, Chair section 2019/2020
I am pleased to report another satisfactory year with high occupancy rates throughout the period, and continued progress on improvements to the property in line with our programme of capital and maintenance work.
Dove Lodge ended the financial year with a small deficit overall but still with a satisfactory level of reserves to take forward. During the year, we exceeded expectations in terms of office rents and room hire, and my thanks go to our staff in achieving these higher occupancy rates.
Costs were a little more than expected with the need to replace our boilers towards the year-end, which was unplanned and unforeseen. However, other planned maintenance and improvements took place, ensuring the offering of Dove Lodge offices and meeting rooms remains at a high standard.
Our workforce has remained stable, enabling us to continue to enhance and improve some of our working practices with the ever-greater use of information technology. Policies have been reviewed, revised, and updated with a focus on inclusion and diversity. Work in reaching out into the local community has been ongoing with the promotion of Dove Lodge in support of the voluntary sector and local charitable groups.
This year has also seen the introduction of our Clinical Room Project. This is funded by the Safer Arun Partnership. Now up and running and being utilised by our tenants, Change Grow Live with other organisations showing interest. It is a valuable addition to our offering to our community.
To support climate change, sustainability, and the environment, we have introduced several green initiatives, such as waterless urinals and LED lighting, and this will be an ongoing theme going forward.
At the close of the year, we have had to deal with the global coronavirus crisis, impacting the offering we can provide. Our key focus for 2020/21 will be seeking to return the service to normality and in providing a safe, clean, and pleasant environment, where people can work comfortably and efficiently, in a welcoming and customer-focused service atmosphere.
Finally. I’d like to thank all our tenants, clients and visitors for their custom, and our Director and all our staff, plus my fellow Trustees for their commitment and achievements this year.

Secretary's Report March 2020
We come to the end of the year with a good staff team, supportive trustees and all of our offices let, alongside the excellent use of our meeting rooms. We are now oversubscribed on offices lettings as the Arun Safety Partnership decided to go ahead with the Clinical Room project.
This has however, required us to remove a meeting room from our offering until another room becomes vacant.
The trustees decided that the clinical room project was a valuable addition as it will help the most vulnerable in our community.
Dove Lodge becoming more active in the local volunteer community, has been a priority over the past year, which has included an improved Facebook presence.
Building maintenance and compliance have again been a significant draw on our resources. This year we needed a new pair of heating boilers, which was a considerable and unforeseen expense.
The year ends in a sound financial position.
We must now continue to face the consequences of the pandemic and prepare for the long term challenges it will produce.

The trustees, who are also directors of the charity for the purposes of the Companies Act 2006, present their report with the financial statements of the charity for the year ended 31 March 2018. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015).
OBJECTIVES AND ACTIVITIES
Objectives and aims
The principal activities of the charity in the year under review were those of assisting in promotion and improving the efficiency and effectiveness of charities and the application of charity resources by the provision and management for charities and voluntary organisations where they are carrying out charitable activities of office accommodation, conference, training and other facilities, services or support in the Arun District of West Sussex. The Policy of the charity is to continue this work in the future utilising all available resources for the benefit of other local charitable organisations.

The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006.

Independent Examiner’s Report to the Trustees of Dove (Littlehampton) Ltd
I report on the accounts for the year ended 31 March 2020 set out on pages five to eleven.
Respective responsibilities of trustees and examiner
The Charity’s trustees (who are also the directors for the purposes of company law) are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year (under Section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is required.
Having satisfied myself that the charity is not subject to audit under the company law and is eligible for independent examination, it is my responsibility to:
- examine the accounts under Section 145 of the 2011 Act
- to follow the procedures laid down in the General Directions given by the Charity Commission (under Section 145(5)(b) of the 2011 Act); and
- to state whether particular matters have come to my attention.
Basis of the independent examiner’s report
My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statements below.
Independent examiner’s statement
In connection with my examination, no matter has come to my attention:
(1) Which gives me reasonable cause to believe that, in any material respect, the requirements
- to keep accounting records in accordance with Section 386 and 387 of the Companies Act 2006; and
- to prepare accounts which accord with the accounting records, comply with the accounting requirements of Sections 394 and 395 of the Companies Act 2006 and with the methods and principles of the Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK an Republic of Ireland (FRS 102) (effective 1 January 2015).
have not been met; or
(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

Balance Sheet - continued at 31 March 2020
The charitable company is entitled to exemption from audit under Section 479A of the Companies Act 2006 relating to subsidiary charitable companies for the year ended 31 March 2020.
The members have not required the charitable company to obtain an audit of its financial statements for the year ended 31 March 2020 in accordance with Section 476 of the Companies Act 2006.
The trustees acknowledge their responsibilities for
(a) ensuring that the charitable company keeps accounting records that comply with Sections 386 and 387 of the Companies Act 2006 and
(b) preparing financial statements which give a true and fair view of the state of affairs of the charitable company as at the end of each financial year and of its surplus or deficit for each financial year in accordance with the requirements of Sections 394 and 395 and which otherwise comply with the requirements of the Companies Act 2006 relating to financial statements, so far as applicable to the charitable company.

1. ACOUNTING POLICIES
Basis of preparing the financial statements
The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the charities SORP (FRS 102) ‘Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015)', Financial Reporting Standard 102 ‘The Financial Reporting Standard applicable in the UK and Republic of Ireland’ and the Companies Act 2006. The financial statements have been prepared under the historical cost convention.
Income
All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably.
Expenditure
Liabilities are recognised as expenditure as soon as there is a legal on constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in the settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.
Tangible fixed assets
Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life. Freehold property - Not provided
Taxation
The charity is exempt from corporation tax on it’s charitable activities.
Fund accounting
Unrestricted funds can only be used in accordance with the charitable objectives at the discretion of the trustees. Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes. Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.
Pension costs and other post-retirement benefits
The charitable company operates a defined contribution pension scheme. Contributions payable to the charitable company’s pension scheme are charged o the Statement of Financial Activities in the period to which they relate
