Privacy Notice Business Support Grants and 1‑to‑1 Business Support

Our Business Support Grants and 1‑to‑1 Business Support privacy notice explains how we use your personal information and tells you about your privacy rights and how the law protects you.

We collect information about you in order to assess your eligibility for the Business Start Up Grant, General Business Grant, Town Centre Retail Start Up Grant, Town Centre Shopfront Improvement Grant, and to provide access to the 1‑to‑1 Business Support service.

Information we collect

The information we ask for is essential, we cannot consider your application without it. When you apply, we will need the following information:

  • your name and contact details
  • business name, business address and nature of business activities
  • information about your business proposal or current operations
  • information relating to eligibility
  • details of project costs, quotations and supporting documents
  • evidence of identity, business and premises ownership where required
  • your business bank account details including account name, sort code and account number to make payment if you are awarded a grant

In some cases, we may ask for additional information to verify your eligibility.

Why we collect this information

We use this information for the following purposes:

  • personal details, so we can identify you
  • organisational details to check your eligibility for support
  • contact details so we can get in touch with you about your application
  • contact details so we can connect you with the third party 1-2-1 Business Support Consultant
  • address details to confirm location or planning requirements
  • bank details so we can administer the funding and maintain accurate records of applications

Who we might share your information with

We may share your information with:

  • Survival to Significance, our contracted 1‑to‑1 business support provider, so they can contact you to arrange support
  • other teams within Arun District Council where necessary to administer your application, including Planning, Building Control, Environmental Health, the Heritage Officer and the Economy Team
  • internal finance and audit functions to ensure appropriate use of public funds
  • Land Registry, if we need to confirm details relating to property ownership (this is unlikely)
  • other government departments and agencies where required by law

If we receive a request, under the Freedom of Information Act (FOI) or Environmental Information Regulations (EIR), to disclose information, we are obliged to do so unless the information is deemed exempt under the Act - we can only withhold information under FOI or EIR if the information falls under one of the exemptions (FOI) or exceptions (EIR) set out in legislation.

What we do with your information

We will:

  • use the information to process your application for grant funding or 1‑to‑1 support
  • check eligibility, including verification of business status or town centre location where applicable
  • check property or planning details if relevant to your application
  • correspond with you about your application and, if successful, during the administration of the funding
  • hold the information within secure Council systems in accordance with our data retention schedule

How long we keep your information

  • If your application is successful, we will keep all relevant information for six years after the date of grant award or support provision.
  • If your application is unsuccessful, it will be destroyed within three months.

These retention periods ensure we comply with financial audit requirements and standards for administering public funds.

Legal basis for using your information

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, our lawful basis for processing your personal data is:

Article 6(1)(e) - processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the council.

Article 6(1)(c) - processing is necessary for compliance with a legal obligation, including the requirement to ensure proper use of public funds and prevent fraud.
